Help & FAQ
The same answers as in the app.
Getting started
What is Kisan Hisab?
Kisan Hisab is a farm accounting and record-keeping app for farmers. It keeps crop income and expenses, money to receive and to pay, labour attendance and wages, farm work, contract farming and each crop’s profit in one simple farm book on your phone.
It is free to download on Google Play and the App Store, in six languages: Gujarati, Hindi, English, Marathi, Punjabi and Kannada.
Does Kisan Hisab work without internet?
Yes. Everything in your book works with no network at all: adding entries, crops, parties, attendance, contracts and reports.
Internet is needed only to back up to or restore from Google Drive, to buy Pro, to sign in, and for Cloud Sync.
Where are my records kept?
Your records are saved on your phone.
When “Cloud Sync” is on, a copy of the book is also kept on our server, so it can come back on a new phone.
Without a backup or “Cloud Sync”, if the phone is lost or the app is removed, the records cannot be brought back. Please make a backup: see the backup questions below.
Do I need to sign in?
No. The app works fully without an account, and your records stay on your phone.
Signing in lets your Pro plan follow you to another phone, and lets “Cloud Sync” keep a copy of your book.
To sign in, open “More” and tap “Sign in”, just under your profile. To sign out, tap “Sign out” at the bottom.
With “Cloud Sync” on, signing out pauses sync for the books on your phone until you sign in again. Nothing is deleted, and changes not yet sent wait for the same account.
What should I do first?
- Open “More” > “Farms” and check your farm.
- On “Home”, tap “Start a crop season” and choose your crop.
- Open “Entries” and add what you sold with “Income”, and what you spent with “Expense”.
- Open “Parties” and add the people you buy from, sell to and pay.
- Open “More” > “Backup & data” and set up a backup.
I cannot find a screen. Where is it?
- On “Home”, tap the round green button at the bottom right (“All actions”).
- A list opens: “What do you want to do?”. Type a word to search it, then tap what you need.
The “More” tab also has “Reports”, “Attendance”, “Farms”, “Categories” and “Crops”.
How do I change the buttons on the Home screen?
- On “Home”, find “Quick actions” and tap “Edit”.
- Tap the minus mark on a button to remove it. Tap one under “Add action” to add it. Press and hold a button to move it.
- Tap “Save”.
How do I change the language or the currency?
- Open “More” > “App settings”.
- Tap “Language” and choose. The app changes at once.
- For money, tap “Currency & Format”, choose, and tap “Save”.
Crops & farms
How do I add a crop?
- On “Home”, under “Active crops”, tap “View all”.
- Tap “Start a crop season” at the bottom.
- Tap your crop. If it is not in the list, tap “Add custom crop”.
- Choose the farm, set the “Start date”, and tap “Save”.
- You need at least one farm first.
- The start date cannot be in the future.
How do I change a crop's name, date, crop type or farm?
- Open the crop from “My crops”.
- Tap the round three-dot button at the top right. “Crop options” opens.
- Choose “Rename season”, “Edit season dates”, “Change crop type” or “Change farm”.
- “Edit season dates” changes the start date only.
- Changing the crop type or farm moves all its entries with it. Nothing is deleted and no amount changes.
I added a crop by mistake. How do I delete it?
A crop is deleted in two steps: first archive it, then delete it forever. This is so that nobody loses a season's records with one wrong tap.
- Open the crop from “My crops”.
- Tap the round three-dot button at the top right, then “Archive crop season”, then “Archive”.
- Go back to “My crops” and tap the box icon at the top right. “Archived crops” opens.
- Under the crop, tap “Delete forever”.
- Read “WHAT WILL BE DELETED”, tick “I understand this cannot be undone”, and tap “Delete forever”.
This cannot be undone. The crop and its entries, activities, photos and contract are removed. Labour days and wages already paid are kept.
If only the crop is wrong, use “Change crop type” instead and keep your entries.
How do I bring back an archived crop?
- Open “My crops” and tap the box icon at the top right.
- Under the crop, tap “Bring back” and confirm.
The crop comes back with all its entries, and they count in your totals again.
My crop is over. How do I close it, or open it again?
- Open the crop and tap “Finish season” at the top right.
- Set the “End date” if needed and tap “Close season”.
Nothing is deleted, and money still pending stays pending. The crop moves under “PAST”.
To open it again: tap the three-dot button and choose “Reopen this season”.
How do I start the same crop again next year?
- Open “More” > “Crops”.
- Tap the crop, then “Start new season”.
- Choose the farm and date and tap “Save”.
Each season keeps its own entries and its own profit.
My crop is not in the list. How do I add my own?
- Open “More” > “Crops”.
- Tap “Add” at the top right.
- Type the name, choose a category, and tap “Save”.
A crop you added can be deleted only while nothing uses it. Once it has a season, the app offers “Archive” instead, so that season is not left without a crop.
How do I add or change a farm?
- Open “More” > “Farms”.
- To add: tap “Add farm”, type the “Farm name”, and tap “Save farm”.
- To change: tap the farm, then the pencil at the top right.
How do I delete a farm?
- Open “More” > “Farms” and tap the farm.
- Tap the pencil at the top right, then the red bin at the top right.
- A farm with crops or entries can only be archived. It leaves your lists; its records are kept.
- A farm that was never used is deleted.
- The last farm cannot be removed. Add another one first.
Income & expense
How do I add income or an expense?
- Open “Entries” and tap “Income” or “Expense” at the bottom.
- Choose the crop under “Crop season”.
- For an expense, choose the “EXPENSE CATEGORY”.
- Enter the money: either “Quantity × Rate” or “Total amount only”.
- Under “MORE DETAILS (OPTIONAL)” you can set the date and the party.
- Choose “Pending” if the money has not been paid yet, and set the “DUE DATE”.
- Tap “Save income” or “Save expense”.
The question mark at the top of the form explains every field.
How do I correct an entry?
- Open “Entries” and tap the entry.
- Tap the pencil at the top right.
- Change what is wrong and tap “Save changes”.
How do I delete an entry?
- Open “Entries” and tap the entry.
- Tap the red bin at the top right.
- Tap “Delete”.
A deleted entry cannot be brought back. Its photos go with it.
Why can I not edit or delete some entries?
Two kinds of entry are made by the app and are changed where they were made:
- A wage paid to a labourer. Change it in “Attendance”, in that labourer's payments.
- Money received on a contract. Change it on the contract.
I got only part of the money. How do I record it?
- Save the entry as “Pending”.
- Later, open the entry.
- Tap “Part received” (or “Part paid” on an expense), enter the amount, and tap “Save payment”.
- When all of it is paid, tap “Fully received” or “Fully paid”.
Each payment is listed on the entry and can be changed or removed there.
How do I keep a photo of a bill with an entry?
- In the entry form, or on a saved entry, tap “Receipt / photo”.
- Choose “Camera”, “Gallery” or “File”.
The photo is kept inside the app. It does not show in your phone's gallery.
The trader cut commission or transport from my sale. How do I enter it?
- In the income form, enter the full sale amount first.
- Tap “Sale-related expenses”.
- Choose what it was, enter the amount, and tap “Save expense”.
It is saved as a separate expense. The sale stays at its full amount, so your income and your costs are both right.
How do I add, change or remove an expense category?
- Open “More” > “Categories”.
- To add: tap “Add” at the top right.
- To change or remove: tap the category and choose “Edit”, “Archive” or “Delete”.
A category that has expenses can only be archived, so those expenses keep their name.
How do I add my own unit, like a 40 kg man?
- While adding a sale or an expense, tap the unit beside the quantity.
- Tap “Add a unit”.
- Write a name, and choose “Weight”, “Litres” or “Count”. For a weight, enter how many kg are in one.
- Tap “Save”. The unit is chosen on the entry and stays in the list.
- The app's own “Man” is always 20 kg. If your man is 40 kg, make your own unit.
- To change, hide or archive a unit, tap “Manage units” in the same list.
How do I change, hide or remove a unit?
- Open “More” > “App settings” > “Units”, or tap “Manage units” in the unit list.
- Tap a unit to see what you can do with it.
- Your own unit: “Edit” changes its name or size. Whether it is a weight, litres or a count is set when it is made and cannot change.
- A unit of the app: “Hide from the list” takes it out of the list, and “Show in the list” brings it back. Its size cannot change; make your own unit instead.
- “Archive” takes your unit out of the list. To bring it back, tap “Show the archive”, then “Bring back”.
- “Delete” works only for a unit no entry uses. A unit in use can only be archived, so no saved entry loses its unit.
A new size counts for new entries only. Entries already saved keep the size they were saved with.
“Delete” removes the unit for good.
How do I find an old entry?
- Open “Entries”.
- Tap the filter icon at the far top right (“Filter entries”).
- Choose a date range, “Crop”, “Party” or payment status, then tap the button at the bottom.
The arrows icon beside it changes the order, for example “Largest amount first”.
Parties
How do I add a buyer, a shop or a labourer?
- Open “Parties” and tap the plus button.
- Type the name, or tap “Select from contacts”.
- Tap “Roles” and tick what they are: “Buyer / Trader”, “Vendor / Shopkeeper”, “Labour”, “Vehicle / Transport” or “Agent / Dalal”. One person can be more than one.
- Tap “Save party”.
How do I change a party's name or number?
- Open “Parties” and tap the party.
- Tap the pencil at the top right.
- Change it and tap “Save party”.
How do I delete a party?
A party cannot be deleted, because your old entries carry its name. You can archive it instead.
- Open the party and tap the box icon at the top right.
- Confirm.
It leaves your lists and pickers. Old entries stay as they are.
To bring it back: on “Parties” tap the box icon at the top, open the party, and tap “Bring back”.
What do the numbers on a party's page mean?
- “to receive”: money this party still has to give you.
- “to pay”: money you still have to give them. For a labourer this includes unpaid wages.
- “Income”: everything you sold to them, paid or not.
- “Expense”: everything you bought from or paid to them.
- “Wages due”: attendance days not paid yet.
Attendance & wages
How do I start attendance for a labourer?
- Open “More” > “Attendance” and tap “Add worker”.
- Choose the labourer, or add a new party.
- Choose how they are paid:
- “Per day”: a usual daily wage, filled in for you each day.
- “Ask every day”: you type the amount each day.
- “Attendance only”: only days are counted, for a monthly salary.
- “By weight”: paid per kg picked.
- Tap “Add to attendance”.
How do I mark, change or remove a day?
- Open “Attendance” and tap “Log attendance” on the labourer's card.
- Choose “Present”, “Half day” or “Absent”.
- Check the amount and tap “Save the day”.
- To change a day, open it again and save.
- To remove it, open it and tap “Clear”.
- For an earlier date, use the arrows on the date bar at the top. A future date cannot be marked.
One labourer did two jobs in one day. Can I add two entries?
No. Each labourer has one entry per day, so that a day is never counted twice.
What you can do:
- Add both amounts together and type the total for the day. Write the split in the note.
- Or add the second job as an expense in “Entries”, with this labourer as the party and the other crop.
Do not do both for the same work, or it will be counted twice.
How do I pay by weight, for picking?
- Set the labourer to “By weight” with a rate per kg.
- Open the day. Type each weight in kg and tap “Add”. Each weight is saved at once.
- The app adds the weights and works out the wage.
- A different price for one day: tap “Change rate”.
- A wrong weight: tap the cross at the end of its line.
Family comes with a labourer and I pay one person. How do I record it?
- Open the labourer's day.
- Under “WHO ELSE CAME?”, tap a name, or tap “Name” to add one.
- Check the amount: it is one amount for everyone. Then tap “Save the day”.
A name is only a label. All the money stays in the one labourer's account.
To add, rename or remove names, tap the icon at the end of that title.
How do I pay a labourer, in full, in part or in advance?
- Open “Attendance” and tap the labourer.
- Tap “Payment”, then “Record a payment”.
- Tap “Pay it all”, or type a smaller amount for a part payment. With nothing owed, the amount is kept as an advance.
- Choose the crop the work was for and tap “Pay and record expense”.
The payment is added to your expenses under that crop.
I entered a wrong wage payment. How do I fix it?
- Open the labourer and tap “Payment”.
- On the payment, tap the pencil to change it, or the bin to delete it.
A deleted payment is removed from your expenses, and the amount goes back to pending.
I marked attendance. Why is it not in my expenses?
Marking a day only adds to what you owe the labourer. It becomes an expense when you pay.
This is so a wage is never counted twice, once as a day and once as a payment.
How do I change a wage, or stop attendance for a labourer?
- Open the labourer and tap “Edit config”.
- Change the wage type or amount and tap “Save changes”. Days already marked keep their old amount.
- To stop for now, turn on “Pause attendance tracking”. Their history is kept.
- To take them off, tap “Remove from attendance”. They stay in “Parties”, and money still owed keeps showing until you pay it.
Contracts
What is contract farming, and how do I turn it on?
Use it when a trader agrees in advance to buy your crop, and pays in parts.
- Open “More”.
- Under “FEATURES”, turn on “Contract farming”.
A “Contracts” tab appears. Turning it off later deletes nothing.
How do I add a contract?
- Open “Contracts” and tap the plus button.
- Choose the trader, the crop and the farm.
- Go through the steps: what is included, the cuts, and how you will be paid.
- On the last step, tap “Create contract”.
How do I record money or a harvest on a contract?
- Open the contract.
- For money: tap “Receive payment”, choose the kind, enter the amount, and tap “Save payment”.
- For a harvest: open “Harvests”, then “Add harvest”.
A harvest records the date and quantity only. It is not money.
How do I finish, cancel or remove a contract?
- Open the contract and tap the three-dot button at the top right.
- Choose “Mark it complete” or “Cancel the contract”.
- To put it away, choose “Archive”.
A contract can be deleted only after it is archived.
Deleting removes its payments, cuts and harvests for good.
Why is contract money shown apart from my other income?
Most contract money has been promised but not yet received. If it were added to your farm income, your profit would look bigger than the money you have.
So only contract money you have actually received counts in a crop's profit. What is still to come is shown on the contract.
Backup & reports
How do I back up my records?
- Open “More” > “Backup & data”.
- Tap “Connect Drive” and sign in with your Google account.
- Tap “Back up”.
- Tap “Auto-backup” and choose how often. The backup then runs when you open the app.
Backups are kept in your own Google Drive. We cannot see them.
I have a new phone. How do I get my records back?
- On the old phone, make a backup to Google Drive.
- On the new phone, install the app and finish the first steps.
- Open “More” > “Backup & data” and tap “Connect Drive” with the same Google account.
- Tap “Restore”, tap the backup, then “Replace”.
Restoring replaces everything now in the app with the backup.
How do I save a copy of my records as a file?
- Open “More” > “Backup & data”.
- Tap “Export a copy”.
- Tap “Share it” to send the file to yourself.
The file holds everything, photos included.
To bring it back, on your phone or a new one: on the same screen tap “Import a backup”, choose the file and confirm.
Bringing the file back replaces everything now in the app with what is in the file.
How do I make a report and share it?
- Open “More” > “Reports” and tap a report.
- Tap the filter button at the top right to choose the period, crop or farm.
- Tap “Export PDF”, then “Share”.
To print, share the PDF to a printer app. All reports are free.
How do I erase everything and start again?
- Open “More” > “Backup & data”.
- At the bottom, tap “Erase all data”.
- Tick “I understand these records cannot be brought back” and tap “Erase”.
This removes every record and photo from the phone and cannot be undone. Make a backup first. Backups already in Google Drive are kept.
Cloud Sync & account
What is Cloud Sync, and do I need it?
“Cloud Sync” keeps a copy of your book on our server and updates it as you work. If your phone is lost or replaced, your book comes back on the new phone.
You do not need it. The app works fully without it, with or without internet.
- It comes with Kisan Hisab Pro, and stays off until you turn it on.
- Your phone always keeps its own full copy. Changes made with no signal go up when the signal is back.
How do I turn on Cloud Sync?
- Open “More” and tap the “Cloud Sync” card.
- Read what is kept, then tap “Turn on Cloud Sync”.
- If you are not signed in, tap “Continue with Google”, or on iPhone “Continue with Apple”.
- Your book goes up. Keep using the app; if it stops, it carries on from there next time.
- Cloud Sync needs Pro on the account you sign in with. Without Pro, the card opens the plans first.
How do I get my book on a new or second phone?
- Install Kisan Hisab on the other phone.
- When it first opens, choose “Get my book from Cloud Sync”. Already set up, with no records yet? Open “More” > “Cloud Sync” and tap “Get my book”.
- Sign in with the Google or Apple account your book is kept under.
- Choose your book. It comes to your phone and keeps syncing here.
- Your phone already has its own book? On Home, tap your book's name at the top, tap your book from the cloud, then “Add book”. The two books stay apart and are never mixed.
- It needs Pro on the account. Without Cloud Sync, use a Google Drive backup instead.
How do I see my phones, or remove one?
- Open “More”. In the “Cloud Sync” card, tap “Your phones”.
- Each phone shows its name, the app version and when it last synced. Your phone is at the top.
- To stop a lost or old phone syncing, tap “Remove” beside it and confirm.
- The removed phone stops syncing within an hour and keeps its own copy of your books. If it never comes online again, that copy cannot be erased from it.
- Your phone cannot remove itself. To stop syncing here, sign out.
- Removed a phone by mistake? On that phone, tap “Sync this phone again” and sign in with the same account.
Some changes could not be synced. What do I do?
A change could not go to the cloud, for example because the same record was changed or deleted on another phone first. It is kept on your phone, and nothing is lost.
- Open “More” > “Cloud Sync” and tap “See changes”.
- Each change says why it was not saved.
- Tap “Use my change” to send your version on top of the cloud's, or “Keep cloud version” to keep the cloud's version.
“Keep cloud version” throws your change away, and it cannot be brought back.
What happens to Cloud Sync when my Pro ends?
Cloud Sync runs until the paid time ends, then pauses by itself. You are told before that day.
- Nothing on your phone is deleted, and the app keeps working offline.
- Changes you make wait on your phone, and the copy on our server is kept.
- Tap “Renew Pro” or buy Pro again, and sync carries on in the same book from where it stopped.
With Cloud Sync on, do I still need the Google Drive backup?
Yes, keep it. Cloud Sync is not a backup: a record you delete is deleted in the cloud and on your other phones too.
Drive keeps its own copies, apart from the cloud, so you have a way back after a mistake.
- While a book has a copy in the cloud, a backup is not restored over it, so nothing replaces the cloud copy by mistake.
Are my bill photos backed up, and is their location shared?
With “Cloud Sync” on, bill photos, receipts and documents you attach from now on go up with your book and reach your other phones.
- Ones attached before this update stay on your phone, marked “On this phone only”.
- A photo is made smaller before it goes, and its location is removed. Nobody can see where it was taken.
- Your entries never wait for photos. They sync first.
What do the marks on a bill photo mean?
- “Backing up”: saved on your phone. It goes up when there is a signal.
- “On this phone only”: added before the update, and not backed up yet.
- “File too large to back up”: a photo over 10 MB or a file over 8 MB. It stays on your phone and is never deleted.
- “Not backed up”: saved on your phone, but it could not be backed up. Attach it again. This one stays until you delete it.
- “Could not be read”: your phone could not read it. Attach it again. This one stays until you delete it.
- “Not on this phone yet”: it is on another phone of the book. It comes down by itself when your phone is online.
- “Photo not available”: it is no longer in the cloud or on your phone. The entry itself is safe.
With no mark, the photo is backed up.
Do photos use my mobile data?
Yes. Photos and bills go up on mobile data too, made smaller first. Small previews always come down, and a full photo comes down when you open it.
- With no connection they wait, and go by themselves when you are back online.
How do I delete my account?
- Open “More” and go to the bottom. “Delete account” shows while you are signed in.
- Read what is deleted and what stays, then tap “Delete account”.
- Tick “I understand that my cloud data cannot be recovered after 30 days.”, confirm, and sign in once more with the same account.
Your account and the cloud copies of the books you own are deleted 30 days later. Every book on your phone stays and keeps working, and Drive backup carries on.
Changed your mind? Before that date, tap “Cancel deletion” in “More” and sign in with the same account.
No app at hand? Ask for the deletion by email. The steps are at khetihisab.com/delete-account.
After the 30 days, your cloud data cannot be brought back.
Is my data on the phone deleted if I turn Cloud Sync off?
No. Your phone stops sending and getting changes, and you keep working in your book with every record in it. The copy on our server is kept as it is, and you can turn sync on again at any time.
How do I remove my book from the cloud?
You can ask for the cloud copy of a book to be removed. It is deleted 30 days later, and every record stays on your phone.
If you turn Cloud Sync on again before then, the copy is kept.
Pro, ads & support
What do I get with Pro, and what stays free?
Free for everyone: entries, crops, parties, attendance, contracts, all reports and backup.
Pro adds: adding new farm activities, reminders, choosing how many backups are kept, and Cloud Sync.
Records you already have are never locked.
How do I buy Pro, or get it back on a new phone?
- Open “More” and tap “See plans”.
- Choose “Monthly”, “Yearly” or “Lifetime” and tap “Continue”.
If you already paid: on the same screen tap “Restore purchases”. Use the same Apple or Google account you paid with.
How do I see or cancel my plan?
- Open “More” and tap your plan at the top.
- Tap “Manage & support” or “Cancel plan”. The store's own screen opens, and you cancel there.
After cancelling you keep Pro until the paid time ends.
Changed your mind before it ends? Open “More”, tap your plan at the top, and on “Your plan” tap “Resume plan”.
If you bought “Lifetime” while a monthly or yearly plan was running, cancel that plan too, or the store keeps charging it.
How do reminders and the bell work?
The bell at the top of “Home” lists money that is due and work that is due.
To get reminders on your phone: open “More” and turn on “Reminders”. Turning it on needs Pro. Turning it off is always free.
What the words mean
What do “Pending”, “Paid” and “Overdue” mean?
- “Pending”: the money has not been given yet.
- “Part received” / “Part paid”: some of it has been given.
- “Received” / “Paid”: all of it has been given.
- “Overdue”: it is still not settled and the due date has passed.
What is the difference between Archive and Delete?
Archive puts something away. It leaves your lists, nothing is lost, and you can bring it back at any time.
Delete removes it for good.
That is why something that still holds records, like a crop with entries, can only be archived first.
What is a crop season?
One sowing of one crop on one farm, from start to finish. Cotton this year and cotton next year are two seasons.
Each season has its own income, expense and profit, so you can compare years.
“CURRENT” shows crops still growing. “PAST” shows the ones you closed.
What does “Remaining” mean?
The part of the money that is still not settled: the amount, less what has already been paid.
On the “Parties” screen it is the total that all parties still have to give you.
